FOR WORDPRESS PLUGIN DEVELOPERS
Customer Support Workflow for WordPress Plugin Developers
Plugin support becomes expensive when every email starts from zero. A repeatable workflow separates setup questions from real defects and gives users better answers with less back-and-forth.
Collect the details that change the answer
Ask for the plugin name, plan, plugin version, WordPress version, relevant integration, and the exact action that failed. Request steps to reproduce when the issue looks like a bug.
Do not ask customers to send passwords, API secrets, payment details, or other credentials. Screenshots and attachments should remain human-reviewed because they can contain private information.
Separate routine support from product defects
Installation, configuration, feature explanation, and known troubleshooting can usually use reviewed documentation. A reproducible failure, regression, PHP error, or conflict needs a developer path.
Mark suspected bugs for human review rather than allowing an automated reply to dismiss them as setup problems.
Build answers around product and plan
A correct answer for Pro may be wrong for Free. Instructions for one plugin may be dangerous when applied to another. Tag reusable answers with the product, plan, category, and source.
Plan-aware knowledge prevents accidental promises and keeps upgrade language separate from technical help.
Turn solved tickets into documentation
When the same question appears several times, improve the public documentation and link the reusable answer to that source. If a setting name changes, update both the document and the support entry.
This creates a feedback loop: tickets reveal documentation gaps, and better documentation reduces future tickets.
Automate only proven routine questions
Use AI drafts in review mode first. Once an answer is stable, correctly scoped, and repeatedly approved, it may qualify for a trusted automated workflow.
Never auto-resolve security reports, licensing disputes, refunds, privacy issues, data-loss concerns, hostile exchanges, or anything the system cannot ground confidently.
